Workplace offers features such as groups, search, profiles, Workplace Chat, News Feed, auto-translation, Live Video and more. Workplace lets you create a Workplace account that is separate from your personal Facebook account.

Your Workplace Account
Your Workplace account is a place for you to connect and collaborate with your coworkers, join groups related to your team or projects, and get company news and updates.
Your Workplace account is only visible to people at your company and is separate from your personal account. What you share to your Workplace account can only be seen by people in your company.
Your Facebook Account
Your Facebook account is personal. It's for connecting with friends and family, and sharing moments from your life.
The things you share to your personal account will only be seen by people you have allowed, based on your privacy settings on Facebook.
Note: Your employer can not access your personal Facebook account if you're using Workplace, since the accounts are separate.

If you switch from Workplace Advanced to Workplace Essential, you'll no longer be able to access the following:
Unsent invitations
  • Unsent invitations will be permanently deleted from your community.
Single Sign-On (SSO)
  • If you use SSO, all your coworkers will be signed out and they'll have to set their own passwords. They also won't be able to sign in with a single click.
Analytics Showing who Uses Workplace in Your Community
  • Your Admin Panel will disappear. As a result, you won't be able to see which people and groups are most active on Workplace.
1:1 Email Support for Admins
  • You'll no longer be able to email direct support for help when you have a question, but you'll still have access to the Help Center.
Admin Controls to Manage Your Community
  • You won't be able to moderate posts or manage your own data and users, and you'll no longer be able to see if anyone in your community has reported any posts.
APIs for Custom Integrations and Bots
  • You won't be able to use bots and you'll no longer have access to the API for custom integrations.
Syncing With Identity Providers Like G Suite
  • You'll no longer be able to sync seamlessly with identity providers, so people won't be added or removed automatically when they join or leave your business. Any users that were previously synced will remain in Workplace.
Note: If you already have a custom Workplace URL, or if you have multiple verified email domains, we won't make any changes to them, but keep in mind that you won't be able to update or manage that information once you've switched to Workplace Essential.

If you don't have an email address, you'll have set up your account with a username and password. To log in to Workplace:
  1. Go to workplace.com or open your Workplace mobile app.
  2. Click or tap Login with Username or just enter your username.
  3. Enter your username and password.
  4. You'll now have access to Workplace. If you've forgotten your username and password or have never setup a Workplace account, please contact your Workplace Administrator.

Sign up
If you'd like to set up a Workplace Essential account, you can sign up on our website.
Keep in mind that the email domain you're using can't have already been claimed by another Workplace community.
Workplace Essential and Workplace Advanced are different types of Workplace communities. If you'd like to set up a Workplace Advanced account for your company, you can also sign up via our website. There's no limit to the number of people you can have in either community type.
You can sign up to Workplace Essential using a business email address or a personal email address. Only accounts created with a business email address can be upgraded to Workplace Advanced. You cannot change the email address on your Workplace Essential account from a personal email address to a business email address.

If you have an account created with a personal email address and would like one with a business email address you can go to workplace.com and create a new account.

If you'd like to set up Workplace Advanced for your company, you can sign up on our website. There's no limit to the number of people you can have in your Workplace community.
If your company is already using Workplace Advanced, you can set up your account by clicking the link in the email you've received or by visiting [YourCompanyName].workplace.com (example: company.workplace.com) from your computer.
Note: Users in companies without subdomains can set up their accounts by visiting workplace.facebook.com.
Once you've set up your account, you can download the iPhone or Android app to access it from your devices.

To invite a coworker when you're setting up your Workplace Advanced account:
  1. Click Admin Panel at the top left of Workplace.
  2. Click People, then click Add People.
  3. Click Add People or Add Individual.
  4. Enter the details of the people you'd like to add.
  5. Click Add People or Add.
Note: You can only invite people to join Workplace Advanced if they're employees of the same company.

To switch your account to Workplace Essential:
  1. From your computer, click Admin Panel at the top left of your profile.
  2. Click on Payments.
  3. Click on Review Plans and select Switch to Essential.
  4. When prompted, Confirm Switch to finalize the process.
You can return to Advanced at any time by clicking the Upgrade to Advanced button.
Note: If you're not seeing the option to Switch to Essential you may need to log out of your account, clear the cache on your browser and then log back in.

You need to access Workplace from your computer to request an upgrade to Workplace Advanced from Workplace Standard.
To upgrade your Workplace account to Workplace Advanced from Workplace Standard:
  1. Click Upgrade below News Feed in the top left corner of Workplace.
  2. Fill in the form requesting additional information about your company.
  3. Check the box stipulating that you understand the agreement.
  4. Click Continue. You'll then be taken through the domain verification process.
Note that switching to Workplace Advanced means that your community will be agreeing to new terms and conditions. Learn more about Workplace Advanced features.
If you're upgrading to Workplace Advanced for the first time, you'll be entitled to a free trial. If you sign up on Advanced, switch to Standard, and then return to Advanced, you won't get a new free trial.
Keep in mind that you'll need to prove email domain ownership in order to upgrade your account to Advanced.

Workplace for Good offers eligible non-governmental organizations free access to Workplace Advanced. For more information, visit Workplace for Good.

Who is Eligible?
Upon request, verification and written consent, Facebook may offer free access to Workplace Advanced to non-governmental organizations that hold valid non-profit status as verified by our partner TechSoup or one of its local partners.
The following organizations, however, are not eligible for Workplace for Good regardless of non-profit status:
  • Hospitals, organizations involved with health insurance or group health plans, nursing homes, and other healthcare organizations
  • Schools, universities, and other academic institutions, including school districts
  • School-related organizations, such as groups for students, faculty, parents, or alumni
  • Governmental entities, agencies, or organizations
  • Legislative and political activity organizations (including advocacy)
  • Churches and other religious organizations
  • Professional athletic leagues
  • Credit unions and other mutual organizations
Organizations that qualify for Workplace for Good may only create user accounts for their direct employees, contractors, and volunteers. In the event a qualifying organization creates user accounts for anyone else, Facebook reserves the right to charge the organization the standard rates for such user accounts.
Facebook determines an organization's qualification for Workplace for Good in its sole discretion and reserves the right to grant or deny an organization's application or participation at any time, for any reason. Facebook may supplement or amend the eligibility guidelines for Workplace for Good at any time without notice. If, as a result of a change in Facebook’s policies or a change in an organization’s status, an organization no longer qualifies for Workplace for Good, then Facebook will provide such organization with at least three months prior notice. After such notice, the standard rates shall apply to such organization’s access and use of Workplace.

Facebook uses TechSoup to verify whether an organization applying for Workplace for Good is an NGO holding a valid non-profit status.
Requesting organizations must be registered with a local TechSoup partner and must otherwise be eligible to participate in Workplace for Good to receive free access to Workplace Advanced. Note that some types of organizations are excluded from participation in Workplace for Good, as described here.
To register for Workplace for Good:
  1. Visit TechSoup to get a validation token, also called a TechSoup ID. More information on getting a TechSoup validation token can be found here.
  2. Visit the Workplace for Good tab in your Workplace admin panel to enter your TechSoup ID.
  3. If you are eligible for Workplace for Good, you will receive a message that your status was successfully verified.

GDPR and data
What is GDPR?
The General Data Protection Regulation (GDPR) is a new framework that will harmonize data protection rules across the European Union (EU). It goes into effect on May 25, 2018 and will govern how the Facebook Family of Companies is regulated. You can find out more about Facebook’s approach to GDPR here.
Many of the principles build upon the current data protection rules in place within the EU. But GDPR also places some new requirements on companies. GDPR will apply to any Workplace customer with users residing in the EU, even if the organization’s location is outside of the EU.
Workplace and GDPR Compliance
GDPR expands current data protection laws and also adds some new requirements. Most of GDPR’s requirements fall on data controllers. This is the organization or party that decides the ‘purposes’ and ‘means’ of any processing of personal data. Workplace Advanced customers act as data controllers and appoint Facebook as a data processor under the Workplace agreement. In Workplace Essential, Facebook is the data controller and is responsible for the processing of Workplace Essential users’ data.
Facebook and Workplace comply with all data protection laws that apply to us. Where applicable, we’ll adapt our existing practices to align with GDPR. We’re also dedicated to helping our Workplace Advanced customers meet their obligations.
Safeguards and Contractual Commitments
We understand that GDPR requires Workplace Advanced customers to engage data processors with appropriate safeguards to ensure an appropriate level of protection for personal data.
We’ve been working with our product, design and engineering teams to make sure our products will comply with the GDPR rules. This includes making sure our contractual commitments allow customers to demonstrate their compliance. We’ll be updating our agreements to provide the undertakings required from data processors under GDPR.
Data Security
GDPR requires Workplace Advanced customers to engage data processors who can provide an appropriate level of security to meet the requirements set out in the new regulations. The safety of the personal data we process for our customers is of the utmost importance to us. We undergo regular security audits and Workplace Advanced is ISO 27001 certified.
We also invest in systems to make sure we can identify threats to data security when we process data for Workplace Advanced customers. In the unlikely event of a relevant incident, we’ll notify and assist customers. For more information, see here.
Data Transfers
Facebook, Inc. has certified under the EU-US Privacy Shield Framework. This means companies will be able to rely on the Privacy Shield Framework to meet EU data transfer requirements when they use Workplace Advanced.
Facebook, Inc. in the US makes various commitments under the Privacy Shield Framework to legitimize data transfers from the EEA to the US. You can find more information about Facebook’s participation in the Privacy Shield Framework here.

GDPR applies to all European Union data subjects so will apply to all companies and organizations which have EU citizens as part of their business or organization. GDPR will apply to all companies processing the personal data of subjects residing in the EU, regardless of the company’s location.

A person’s right to be forgotten isn't a new GDPR concept. It’s currently required under existing data protection law. A user has the right, at any time, to request that the data controller delete their personal data, a right which is now detailed in Article 17 of GDPR. It’s up to the data controller to understand what grounds they have for continuing to process such data (if any) after this request. Admins can request deletion of a user’s account at any time. This will delete the personal information held about that user in Workplace. It will also include their profile and all content posted and comments made.

Multi-company groups (MCGs) live outside of all instances. Subject to applicable local laws, MCG members are free to agree upon the ownership of data in that MCG. Users can remove themselves from an MCG but their data stays in the MCG unless they delete their account. Learn more about MCGs.

There are several ways to find your Workplace data.
  • Log Into Your Workplace Account: Most of your data is available to you by logging into your account. For example, your Timeline contains posts you've shared on Workplace, along with comments and other interactions from people. You can also find your message and chat conversations by going to your inbox, or photos and videos you've added or been tagged in by going to those sections of your Timeline.
  • Visit Your Activity Log: Within your account, your activity log is a history of your activity on Workplace. From your activity log, you can review and manage things you share, from posts you've commented on or liked to apps you have used or anything you've searched for. From your computer, you can access your activity log by clicking Activity Log from your setting menu shown by clicking your profile picture in the bottom left.
  • Download Your Info: If you're using Workplace Standard on your computer, you can download a file of your information that includes much of the same info available in your account and activity log. This file includes your Timeline info, posts you've shared, messages, photos and more. It also includes info that's not available by logging into your account, like IP addresses logged when you log into or out of Workplace, and more.
    To download your data if you're using Workplace Standard:
  1. Click on your profile picture in the bottom left > click Settings.
  2. Click Download Your Data below your General Account Settings.
  3. Click Create File.
  4. If you're using Workplace Advanced, you'll only be able to download your data if your admin has switched on the feature. You'll know if the feature is switched on if you follow the above steps.
