Chat Basics
If you see an error message saying You can’t reply to this conversation on Workplace, it might be because:
  • The person you’re trying to message deactivated or deleted their account.
  • You’re trying to respond to a group conversation that the other members of the conversation have already left.
  • You aren't connected to the Internet.

Yes. When you turn off chat, coworkers will no longer see a next to your name, but their messages will automatically go to your messages inbox for you to read later.

You can message up to 250 coworkers at once.
If you'd like to share something with a specific group that you're a part of, you can post in the group. All members of the group will be able to see your post, and members that have turned on group notifications will receive a notification about your post.

To add a file to your message on Workplace when you're logged in from your computer:
  1. Click at the bottom of the chat window.
  2. Choose the file you'd like to send.
  3. Complete your message and press Enter to send.
When you include a link to a website in your message (ex: a video or article), a preview of the link will be added to the conversation. Once the preview appears, you can delete the link to just send the preview.

Stickers are illustrations or animations of characters that you can send to your coworkers. Stickers were created to help you share how you’re feeling and add personality to your chats.
If you haven't downloaded any sticker packs yet, or want to download more:
  1. Open the sticker store from a chat by clicking then .
  2. Click Free next to the sticker pack you want to add.
To send a sticker:
  1. Open a chat with a coworker or group of coworkers.
  2. Click .
  3. Click any sticker to send it instantly or click the arrows at the top to scroll to another sticker pack.

Pinned chats allow you to mark important chats at the top of your chat window so that you can find, share or review them whenever you'd like.
To pin a chat:
  1. Hover over the chat thread you'd like to pin and click .
  2. Select Pin chat.
  3. This chat will now sit near the top of your list, depending on how many other chats you have pinned and in what order.
Keep in mind that you can only pin up to 15 chats.
How do I pin a message?
You can pin a message within a chat so that it's always at the top of your chat thread.
To pin a message:
  1. Hover over the message you'd like to pin.
  2. Click to the right of the message.
  3. Select Pin.
  4. This message will appear as a bar across the top of your window. To go to the message, click on the bar.

To reply to specific messages on Workplace:
  1. Select the portion of the message to which you wish to reply.
  2. Click the Reply button that appears next to the selected part of the message.
  3. Type in your reply and click Send.
  4. Your reply will appear at the bottom of the thread, with the portion of the message to which you are specifically replying quoted directly above your reply.

These instructions are about using messages on Workplace. For help with the Work Chat app, visit the Work Chat Help Center from your mobile device.
Active Status shows your coworkers when you're active or recently active on Workplace. You'll also see when your coworkers are active or recently active.
When your active status is on:
  • Your coworkers will see a or recently active time next to your profile picture and in other places on Workplace.
  • You'll see when your coworkers are active or recently active.
When your active status is off:
  • If you turn off Active Status in one place, you'll still appear active or recently active anywhere else you're using Workplace unless you also turn off the setting in those places.
  • You won't see when your coworkers are active or recently active in each place or app that you've turned off your Active Status.
Keep in mind there may be a delay between when someone becomes active or recently active and when they're shown as active or recently active.

You can only mention a coworker if you're logged into Workplace from your computer or the Workplace Chat app.
With Mentions, you can directly notify someone in a group conversation that a message needs a response. When you mention someone, they'll get a notification. Only people who are already in the group conversation can be mentioned in a message. You can turn mentions notifications off at any time.
To mention someone in a group conversation:
  1. Open the group conversation.
  2. Type @ and then click the name of the person you want to mention.
  3. Write your message and then click Send.
Note: @everyone will mention everyone who is a member of the chat group and @here will mention all active members of a chat group.

To view all the photos, videos and files shared in a Workplace chat conversation on your computer:
  1. From the menu of the chat, navigate to Shared.
  2. Click See All. From there, you'll be able to see all media and files shared within the chat.

To remove a message on chat:
  1. Hover over the message you'd like to remove and click then click Remove.
  2. If you sent the message less than 10 minutes before, you’ll have the option to remove the message for everyone in the chat or for just you. If you sent the message more than 10 minutes ago, you can only remove the message for yourself.
  3. Make your selection and click Remove.
Note: Chat group members will see that the message has been removed and the message can still be reported.

You can only set a reminder to come back to a chat message when you're logged into Workplace from your desktop computer.
To remind yourself to come back to a chat message at a later time:
  1. Click from the message and then select Remind Me.
  2. Choose the time you want to be reminded about the chat.
Note: You'll be reminded about the message in the chat thread at the time you've selected. Only you will receive the reminder.

You can only report chats when you're logged into Workplace from your desktop computer.
You can report any chat on Workplace, including multi-company chats.
To report a chat:
  1. Click in the top right of the chat.
  2. Select Report Chat. If you're reporting a group chat, you'll need to pick the member whose chat you're reporting.
  3. Choose the reason why you're reporting the chat then click Submit. The last 50 messages of the chat will be reported.
  4. You can then choose to mute, permanently hide or leave the conversation.
  5. Note: If you're using Workplace Advanced or Enterprise, your reported chat will go to the Workplace Admins of the person you reported. Once you click Submit, the last 50 messages of the chat will be reported to the admin, who'll then decide whether to take action. You won't be notified when a decision is made.

Note: You can't delete all your conversations at once, but you can delete individual conversations.
You can delete messages, conversations and photos from your inbox. Keep in mind that this won't delete them from your friend's inbox. It isn't possible to delete sent or received messages from a friend's inbox.
To delete a message or photo:
  1. Open the conversation.
  2. Tap and hold the message or photo you'd like to delete until a menu at the bottom pops up.
  3. Tap Delete > Delete at the bottom.

To delete a conversation:
  1. View your conversations from Chats.
  2. Swipe left on the conversation you want to delete.
  3. Tap .
  4. Tap Delete Conversation.

You'll only get message requests from people outside of your company if your company is in a multi-company chat.
If someone who you're not connected with on Workplace sends you a message, you'll receive a connection request.
To see your connection requests:
  1. Tap Chats.
Your Message requests will appear at the top.
From here, tap the connection request and choose:
  • Accept to open the conversation
  • Ignore to remove the request
Keep in mind that if you ignore a connection request, you won't be able to see the message again. If you want to talk to the person who sent a request you ignored, you can send them a message. Your message will go to their connection requests.

Note: If you want to report a secret conversation, you'll need to follow separate instructions. This feature is only available to users of Workplace Standard.
To send feedback on or report a conversation in Workplace Chat:
Android:
  1. Open the conversation and tap the person's name at the top.
  2. Scroll down and tap Something's Wrong.
  3. Select a category to help us understand what's wrong.
  4. Tap Send Feedback.
  5. Tap Report Conversation > Report to send the conversation to us for review.
iPhone and iPad:
  1. Open the conversation and tap the person's name at the top.
  2. Scroll down and tap Something's Wrong.
  3. Select a category to help us understand what's wrong.
  4. Tap Send.
  5. Tap Report Conversation to send the conversation to us for review.
We won't let the person know who reported them.
If you ever feel like you or someone you know is in immediate danger, contact your local law enforcement.
If someone is bothering you on Workplace Chat, you can always ignore the conversation or block them.

You can send your location in Workplace Chat to let people know where you are. To send your location:
  1. From Chats, open a conversation.
  2. Tap next to the text box.
  3. Tap Location.
  4. Tap Share Live Location.
If you want to share a location other than where you are currently, you can pin the location.

You can send any location on Workplace Chat by pinning it. Pin a nearby location on the map, or use search to find the location you want to send.
iOS
Pin a location nearby:
  1. Open a conversation.
  2. Tap > Location.
  3. Tap in the top right.
  4. Drag the map so that the red pin is at the location you'd like to send.
  5. Tap Send Pin Location.
Search for a location:
  1. Open a conversation.
  2. Tap > Location.
  3. Tap in the top right.
  4. Use the search bar above the map to search for the location you'd like to send. When you find the location, tap it.
  5. Tap Send Pin Location.
Android

You can pick different colors for your conversations in Workplace Chat. When you choose a color for a conversation, the text box will be set to that color in Workplace Chat and in messages on Workplace.
To change the color of your messages on your phone:
  1. From Chats, open the conversation you want to pick a color for.
  2. Tap the person's name at the top.
  3. Tap Color.
  4. Pick a color for the conversation.
To change the color of your messages on Workplace on your computer:
  1. Go to Workplace on your computer.
  2. Open the conversation you want to pick a color for.
  3. Click Change Color on the right.
  4. Pick a color for the conversation.
Note: You can only change the color of your messages from the Workplace Chat app on your phone or from Workplace Chat on your computer. You can also ask the person who changed the message color to change it back to normal.

When you ignore messages, you won't be notified when the person messages you directly, and the conversation will move to your connection requests. When you ignore messages, the person won't be notified.
To ignore messages:
iPhone and iPad:
  1. From Chats, open the conversation you want to ignore.
  2. Tap the name at the top of the conversation.
  3. Scroll down, tap Ignore Messages, then tap Ignore Messages again.
Android:
  1. From Chats, open the conversation you want to ignore.
  2. Tap the name at the top of the conversation.
  3. Scroll down, tap Ignore Messages, then tap Ignore Messages again.

Multi-Company Chat
Multi-company chats (MCCs) allow people in multi-company groups (MCGs) to chat, video and voice call in 1:1 or group threads. Users need to meet some requirements to use multi-company chat:
  • They need to be in the same multi-company group.
  • They need to have a verified domain (i.e. their domain has to match their company's verified domain).
  • They can't have changed their name in the last month.
If you start a chat with a person who works at a different organization that meets the above criteria, they'll receive a message request. In that message request, the person will be able to see your name, job title, company, profile picture and content of the message. The person won't be able to see your profile or search for it, and the message status won't switch to delivered until the person has accepted the request.
Once the person accepts your message request, you'll be able to:
  • Search for that person in Workplace and Workplace Chat.
  • Start a chat, call or video call with the person.
  • See a message's status (delivered or read; this is applicable to both people in the chat).
  • Add the person to a group chat.
Note: Users will only be able to create up to 25 multi-company chat threads per day. Only users with a managed account will be able to access the 1:1 multi-company chat beta at this time.
Synced multi-company chat
When you create a standard or multi-company Workplace group, you will have the option to create a synced group chat.
Synced group chats automatically contain all members of your multi-company group. If a member leaves the group, they'll simultaneously leave the chat. If a group member leaves the chat, however, they won't leave the group.
Unlike manually created multi-company chats, inviting someone to a multi-company group with synced chat enabled will not send them a message request. Instead, they will receive a group invite and will be automatically added to the chat if they accept.
Group admins can disable this feature at any time from the group's settings. Keep in mind that for synced chat to work, the group will need to have less than 250 members.

Voice and Video Calls
You can call one person, or make group calls.
From the Workplace Chat app, to voice call one person or a group:
  1. From Chats, open a conversation with the person or people you want to voice call.
  2. Tap .
Once you've started a voice call, you can make it a video chat by tapping . Keep in mind that you may not be able to call people if their phones aren't connected to the Internet.

If video chatting is available in your area but you're having trouble using it, try updating to the newest version of the Workplace Chat app. Workplace Chat video chatting is not available in all countries, and certain Internet access providers and mobile carriers may restrict access to this service.
You can video chat with just one person, or with a group of people.
To video chat with one person:

  1. Open a conversation with the person you want to video chat with.
  2. Tap .
Android
  1. Open a conversation with the person you want to video chat with.
  2. Tap .

To video chat with a group:
iPhone and iPad:
  1. Open a group conversation with the people you want to video chat with.
  2. Tap .
  3. Tap Call.
Android:
  1. Open a group conversation with the people you want to video chat with.
  2. Tap .
  3. Tap Call.
Keep in mind that you may not be able to call people if their phones aren't connected to the Internet.

If you're logged into Workplace Chat from your computer and are on a video call, you can mute or unmute yourself from the call by pressing the M key on your keyboard or by clicking on the calling screen.

You can send voice recordings in Workplace Chat. After you release the Record button, your message sends immediately. To cancel your recording, slide your finger away from the Record button before releasing.
To send a voice recording in Workplace Chat:
  1. From Chats, tap a conversation to open it.
  2. In the conversation, tap at the bottom.
  3. Tap .
  4. Press and hold the Record button to record and start speaking.
  5. Drag up to cancel, or let go to send.

You can delete individual calls from your call history. Deleting your call history won't remove the call from your conversation in Workplace Chat. To do this, delete the conversation.
To delete voice or video call from your call history in Workplace Chat:
  1. From Chats, swipe left on the call you want to delete.
  2. Tap Delete > Delete Conversation.

To share your screen in a Workplace Chat video call, you'll need to download a Google Chrome extension. You can find the Chrome extension here.
This extension allows you to share the screen of any opened application, privately and securely with a Workplace user during a Workplace Chat video call.
To begin screen-sharing after adding the Google Chrome extension:
  1. While in a video call, click at the bottom of your screen.
  2. Select which screen option you want to share:
    • Your Entire Screen: This may share any window that's open on your computer, including your desktop.
    • Application Window: This will only share the specific window that you select.
    • Chrome Tab: This will only share the specific chrome tab you select.
  3. After you've selected your screen option, click Share.
When you're done, click Stop sharing at the bottom of the screen or hang up the call.

There are two ways to create a Room in Workplace. The first is through Chat, by clicking on the New Room video icon above your chat thread list. The second is in Groups, by clicking Create Room in the Rooms tab of a group that you are a member or administrator of.
Inviting users to Workplace Rooms
Anyone can join a room on Workplace Rooms. As the call creator, you can either restrict access to your room so that only people within your Workplace can join, or you can leave it open for anyone who has the link to join. Your system administrator can disable the ability for users outside of your Workplace to join a Room.

Once a meeting has begun, the call creator can lock the Room by clicking on the lock icon in the top right corner of the Room. This will prevent new participants from joining. The call creator can also remove participants from the Room.

Call creators may also regenerate their invitation link at any time. This will prevent the old invitation link from working.
Joining a Workplace Room
To join a Room, guests must input their name, confirm they are above the required age limit, and agree to the Workplace Acceptable Use Terms and Privacy Policy.

If the call is created from Chat, the Room creator must be present for the call to begin. If the call is created from Groups, any group member must be present for the call to begin. If only guests are on the call for three minutes without the Room creator joining, the link to join the room will automatically expire.

  3. Tap Add People or Create Group with [coworker's name].
  4. Select or type the names of people you want to add and tap Add.
Note: Anyone you add will see all previous messages in the group conversation.

You can name conversations with three or more people (including you). To name a conversation:
iPhone or iPad:
  1. From Chats, open the group conversation.
  2. Tap the people's names or the group's name at the top.
  3. Tap Edit in the top right.
  4. Tap Change Name, enter a name for your conversation, and tap Ok.
Android:
  1. From Chats, open the group conversation.
  2. Tap the people's names or the group's name at the top.
  3. Tap in the top right.
  4. Tap Change name.
  5. Enter the name of your conversation and tap Save.
The name or photo you choose will be what you and the other people in the conversation see when you view your conversation, both in Workplace Chat or messaging on Workplace.

You can add a bot to your Workplace Chat group conversations from your mobile device.
To add a bot chat extension to a group conversation:
  1. Open a group conversation and tap next to the text box.
  2. Under Extensions, tap the bot you want to add to the conversation.
  3. Tap a bot to see their details or send them a message.

To remove yourself from a group conversation om Workplace Chat from your mobile device:
  1. From Chats, open the group conversation.
  2. Tap the names of the people in the conversation at the top.
  3. Scroll down and tap Leave Group.
The other people in the conversation will be notified that you left and you will no longer receive messages from the conversation.
Keep in mind that you can only leave group conversations. You can't leave a one-on-one conversation.

  1. From Chats, open the group conversation.
  2. Tap the name of the group conversation at the top.
  3. Scroll down and tap Member Requests.

iPhone:
  1. From Chats, open the group conversation.
  2. Tap the name of the group conversation at the top.
  3. Scroll down and tap Member Requests.
  4. Tap next to Require Admin Approval to turn this setting on.
Any pending requests will be shown here for you to approve or decline.

Notifications
You can set a status in Workplace for events such as time off sick, traveling, or working from home to let colleagues know where you'll be. Your status will be displayed on your Workplace profile and in Workplace Chat.
To set your status:
  1. Click on the bottom left of Workplace.
  2. Select your emoji and type a message up to 80 characters, or select an option from Suggestions.
  3. Click Duration to select how long you want your status posted.
  4. Click Set Status.
You're also able to turn on Do Not Disturb. This will mute all notifications unless you are mentioned directly in a post or comment.

  1. From Chats, tap your profile picture in the top left.
  2. Tap Notifications.
  3. Tap next to Do Not Disturb.

Blocking and Unblocking
When you block messages from someone, they can't send you messages or call you on Workplace or Workplace Chat.
When you block messages from someone, they can still:
  • See your profile on Workplace.
  • See you or search for you on Workplace or Workplace Chat.
  • See your messages if you're both in the same group conversation. If you and the person you block are in a group conversation together, you'll be notified before you enter the conversation.

  4. Tap Unblock next to the name of the person you want to unblock.
  5. Tap Unblock on Workplace Chat.

Reactions, Mentions and Stickers
Reactions in Workplace Chat are a quick and easy way to respond to a message with an emoji to express how you feel. Your reaction options are: smile, angry, sad, wow, love, yes and no. You can react to any media on Workplace Chat, including videos, GIFs, stickers, text comments, Location, Payments and more. You can't react to a reaction.
Keep in mind that if you don't like any of the reaction options available to you, you can always send a different emoji as a message from the Workplace Chat emoji keyboard.

To undo a reaction on Workplace Chat:
  1. Hover over the message you sent and click the reaction icon to the left of the message.
  2. Click the reaction you'd like to remove. You should be able to tell what reaction you left by a blue dot. Once the reaction is removed, you can leave a new one.
Note: The person you're chatting with won't be notified if you remove a reaction. They'll be notified if you add another.
Keep in mind that there's no time limit to how often you can change a reaction.

With Mentions, you can directly notify someone in a group conversation that a message needs a response. When you mention someone, they'll get a notification. Only people who are already in the group conversation can be mentioned in a message. You can turn mentions notifications off at any time.
To mention someone in a group conversation:
  1. Open the group conversation
  2. Type @ and then click the name of the person you want to mention
  3. Write your message and then click Send
Note: @everyone will mention everyone who is a member of the chat group and @here will mention all active members of a chat group.

To download a sticker pack in the Workplace Chat app:
  1. Open any conversation.
  2. Tap in the text box, then tap Stickers.
  3. Tap , then tap next to the sticker pack you want to download.
To send a sticker:
  1. Open a conversation.
  2. Tap in the text box, then tap Stickers.
  3. Tap to open the sticker pack you want to use.
  4. Tap the sticker you want to send.
To send an AR sticker:
  1. Open a conversation.
  2. Next to a sticker in your conversation, tap .
  3. Touch and drag to move or resize the sticker.
Note: Some stickers may not work as an AR sticker at this time.

To remove a sticker pack:
iPhone or iPad:
  1. From Chats, open a conversation.
  2. Tap in the text box, then tap Stickers
  3. Tap in the bottom right, then tap Your Stickers
  4. Tap next to the sticker pack you want to remove
  5. Tap Delete
Android:
  1. From Chats, open a conversation.
  2. Tap in the text box, then tap Stickers
  3. Tap in the bottom right, then tap Your Stickers
  4. Tap Edit in the top right corner
  5. Tap to remove as many sticker packs as you want, then tap Done

Workplace Chat App
Workplace Chat is a desktop app for PC and Mac that lets you chat with coworkers.
The Workplace Chat app:
  • Lets you receive notifications directly to the app
  • Supports voice and video calling
  • Allows screen-sharing
  • Makes it easier to view the latest notifications from your groups
  • Supports 1:1 chats and group chats

You can download Workplace Chat from your desktop computer here:
Supported operating systems include 32-bit Windows systems and 64-bit Windows systems running Windows 8 and above as well as macOS 10.9 (Mavericks) and above. Earlier versions of macOS aren't supported.
Note: Workplace Chat doesn't require admin privileges, so anyone should be able to install the app unless it's been blocked by a system administrator.

When an update is available, it'll automatically be downloaded in the background. When the update is ready to install, you'll see a green banner at the top of the app. Clicking the green banner will close the app, install the update and reopen the app. If you want to check for updates manually, you can select Check for updates from the main menu of the app.

Bots in Workplace Chat
This article is only applicable to users of Workplace Essential and Workplace Advanced.
If your organization uses Workplace Advanced, your community admins may have enabled one or more integrations that provide a bot that you can interact with via Workplace Chat. Bots provide a range of functionality: they may send you timely notifications, let you check your annual leave balance, help you book meetings, set up conference calls, give feedback, create tasks and more. The exact functionality depends on which bots your Workplace Advanced admin has enabled.
Bots in Workplace Chat aren't available to people using Workplace Standard at this time.

Bots in Workplace Chat only have the ability to read the following:
  • The messages sent directly between you and the bot.
  • The messages in the group chat thread where the bot has been added as a participant.
Your Workplace Advanced admin is in control of the integrations that have been enabled in your Workplace community. Some of the integrations, such as those focused on security or compliance, may have access to your messages if approved by your admin. If you have questions about what information your Workplace admins can view and who has access to it, please contact your Workplace Advanced admin.

When you message a bot, you're messaging an application built by someone in your organization or built by a third party.
The developers of that application will have access to the conversation between you and the bot. When you add a bot to a group chat, the developers of the application will have access to the whole group chat thread - just as any person would if you added them to the group chat.
If you want to know more about how an application is using that information, you should read the Privacy Policy and Terms of Use provided by the developers of the application. You can access these terms by going to the Integrations tab in your Admin Panel, and clicking the integration you want to know more about. If the integration was built by a third party, the dialog will contain links to that integration's Privacy Policy and Terms of Use. If the integration was built by your organization, you'll need to contact your Workplace Advanced admin to find out how this information is being used.
Keep in mind that as with all your content on Workplace Advanced, your Workplace admin may be able to see the content you post, or messages you send or receive — this includes messages you exchange with a bot.

You can't block people within your organization from sending you messages on Workplace Chat. This includes bots. You can, however mute notifications from people or bots. To do this:
  1. Go to Workplace Chat.
  2. Select the conversation with the bot you want to mute notifications for.
  3. Click on the gear menu to the right.
  4. Select Mute. You can choose to mute notifications for a period of time, or indefinitely.

Archived Conversations
Archiving a conversation hides it from your inbox until the next time you chat with that person. To find a conversation that you've archived:
  1. From Chats, tap Search at the top.
  2. Search the person's name in the search bar.
  3. Tap the person's name to open the conversation.
Note: you can add the archived conversation back to your inbox by sending the person a new message.

Archiving a conversation on your mobile device hides it from your inbox until the next time you chat with that person, while deleting a conversation permanently removes the message history from your inbox.
To archive a conversation:
  1. Tap Chats to view your conversations.
  2. Swipe left on the conversation you'd like to archive.
  3. Tap .
  4. Tap Archive.

Android
You can make sure you're always using the latest version of Workplace Chat by allowing automatic updates. To turn auto-updates on or off:
  1. Open the Google Play Store app and tap the menu button.
  2. Tap Settings.
  3. Tap Auto-update apps and choose whether you'd like to turn auto-updates on or off.

Chat heads let you read and reply to messages while you're using other apps.
A chat head with your coworker's picture will pop up when you get a new message. To view and reply to the message without leaving the screen you're on, just tap the chat head.
You can use your finger to move chat heads around on your screen, or drag them to the bottom of the screen to close them when you're done chatting.
If you're using Android Marshmallow and chat heads aren't appearing, you'll need to turn them on.
To turn on chat heads in Android Marshmallow:
  1. In Workplace Chat, tap your profile picture in the top left.
  2. Scroll down and tap Chat heads.
  3. Tap Go To Settings.
  4. Toggle on "Permit drawing over other apps".
