Setting Up
If you'd like to set up a Workplace Essential account, you can sign up on our website.
Keep in mind that the email domain you're using can't have already been claimed by another Workplace community.
Workplace Essential and Workplace Advanced are different types of Workplace communities. If you'd like to set up a Workplace Advanced account for your company, you can also sign up via our website. There's no limit to the number of people you can have in either community type.
You can sign up to Workplace Essential using a business email address or a personal email address. Only accounts created with a business email address can be upgraded to Workplace Advanced. You cannot change the email address on your Workplace Essential account from a personal email address to a business email address.

If you have an account created with a personal email address and would like one with a business email address you can go to workplace.com and create a new account.

If you'd like to set up Workplace Advanced for your company, you can sign up on our website. There's no limit to the number of people you can have in your Workplace community.
If your company is already using Workplace Advanced, you can set up your account by clicking the link in the email you've received or by visiting [YourCompanyName].workplace.com (example: company.workplace.com) from your computer.
Note: Users in companies without subdomains can set up their accounts by visiting workplace.facebook.com.
Once you've set up your account, you can download the iPhone or Android app to access it from your devices.

If you're a user of Workplace Advanced:
To invite coworkers individually, click Add People from your homepage. You can invite multiple coworkers by entering multiple email addresses.
To invite your coworkers in bulk, click Add People from your homepage and then click Import File.
If the users you're inviting are already on Workplace, or if the users don't have a company domain, admins will receive the message: This person is already on Workplace. If required fields for users without a company domain are incomplete upon invite, admins will receive an Incomplete prompt.
Note: You can only invite coworkers to join Workplace Advanced if your admin has given you permission. Keep in mind that you can only invite people to join Workplace if they're employees of the same company.
If you're a user of Workplace Essential:
To invite coworkers individually, click Invite Colleagues in the People section of your bookmarks. You can invite multiple coworkers by entering multiple email addresses.
To invite your coworkers in bulk, click Invite Colleagues from your bookmarks and then click Import File.
  • Enter an email address or several email addresses in the Invite field depending on how many coworkers you'd like to invite to Workplace.
  • You can also tap Invite from the list of email suggestions.

    You can only create a Workplace account using a private email domain belonging to a specific individual. Keep in mind the email domain can't have already been claimed by another Workplace community.
    You can't sign up for Workplace using a public email domain, such as gmail.com and yahoo.com, etc. You also can't sign up for Workplace using a generic email address, such as info@, admin@, sales@, etc.

    If you've been given a Workplace access code, you can access your new Workplace account.
    To access your Workplace account:
    1. Go to workplace.com or download the Workplace or Workplace Chat apps from the iOS App Store or Google Play Store.
    2. On the login screen, click or tap Create account with Access Code.
    3. Enter the 16 character access code you were provided.
    4. Set a unique username and password; you'll now use it to login to Workplace. Once this is set, you'll now have access to Workplace.

    If you don't have an email address, you'll have set up your account with a username and password. To log in to Workplace:
    1. Go to workplace.com or open your Workplace mobile app.
    2. Click or tap Login with Username or just enter your username.
    3. Enter your username and password.
    4. You'll now have access to Workplace. If you've forgotten your username and password or have never setup a Workplace account, please contact your Workplace Administrator.

    Customizing Workplace
    Name and Logo (Workplace Advanced)
    If your company uses Workplace Advanced and you're an admin, you can customize your community's profile from your Admin Panel on your computer and selecting Settings at the left. From there, you can:
  • Change your company name.
  • Update your company logo.
  • Set your Terms of Use.
  • Specify your Workplace tier.

  • Domains (Workplace Advanced)
    If your company uses Workplace Advanced and you're an admin, you can add and verify your domains by selecting Verified Email Domains from your Settings in your Admin Panel. Learn more about verifying your domain.
    Groups (Workplace Advanced and Workplace Essential)
    You can add or change your group cover photo. Learn more about groups on Workplace.

    Logo images on Workplace should be 495 x 234 pixels or larger. These dimensions ensure that the image will fit in the provided logo template.
    Images larger than 495 x 234 pixels are scaled down to fit into the logo template.
    The following formats are supported:
      .PNG (with or without background)
      .JPG
    Keep in mind that animated formats such as .GIF aren't supported and files should be saved in RGB mode. Uploaded logo(s) in CMYK mode may be different in color compared to the original file preview.

    Your Account
    When you share something from your Workplace account, you can share it to a group or to your Timeline. When you share something to a group, your post may show up on your Timeline, depending on the privacy settings of the group.
    If you share something with everyone at your company, anyone with a Workplace account at your company can see it. Nothing you share on Workplace is visible to people outside of your company.
    If your company is using Workplace Advanced, the admins who manage Workplace at the company can access anything you share from your Workplace account, just as they might access your work emails and other work files.

    If you're using Workplace Advanced, to protect your security, your company may periodically ask you to confirm your identity using single sign-on. To authenticate using single sign-on, select Continue at the prompt. If you'd like more information on identity verification, contact your community admin.

    Workplace Advanced and Workplace Enterprise
    Users on Workplace Advanced and Workplace Enterprise have access to the Workplace Help Center, Workplace Help Community and the Customer Resource Center.
    Where additional support is needed, admins are also able to contact the Workplace Support team directly via message or chat. To access your support inbox and make a new request:
    1. Open the Admin Panel from the Workplace navigation bar.
    2. Click Contact support.
    3. Click Ask a question to send Workplace support a message.
    4. Click Chat with us to get support via instant messaging. Chat support is currently being rolled out and is not yet available to all customers.
    You can also access this screen by clicking in the Workplace navigation bar and selecting Contact Workplace Support.
    The support inbox allows you to see past support requests, filter support requests by their current status, and see if there is any outage that might be affecting Workplace functionality.

    Priorities can be used to provide information to Workplace Support about the business impact and urgency of your issue or question. Guidelines for each priority can be seen below.
    High Priority: Severe business impact
    Severe impact to business. The issue prevents users from being able to perform their job responsibilities. Requires immediate action. No possible workarounds available.
    Examples:
    • All users are unable to login to use Workplace.
    • A key component of Workplace is not working for all users, such as the ability to create groups.
    • A key stakeholder, such as the company CEO, is unable to use a core functionality of Workplace, e.g. cannot go Live.
    Mid Priority: Moderate business impact
    Moderate impact to business. The issue prevents some users from performing their job responsibilities. Workaround is available. Non-primary feature of Workplace is not working for users.
    Examples:
    • Some users are not able to “Go Live”.
    • A non key component of Workplace is not working as expected - Mac users being unable to download a video.
    Low Priority: Low business impact
    Low impact to business. The issue is transient. Workaround is available. Impact is less than 5% of total users and issue is not a core component of Workplace.
    Examples:
    • One user is occasionally unable to see a chat thread linked to a group.
    • Some users are unable to download a video when using an Android phone, but can do so from a laptop or an iOS device.
    • Relatively low-key issues with API usage/Developer Support.
    Note: The main purpose of priorities is to signal the business impact or urgency of your issue to the Workplace support team. Priorities do not guarantee faster or slower resolution, but enable us to better focus on the more impactful and urgent issues.

    To report a post on Workplace Advanced:
    1. Click in the top-right corner of the post.
    2. Select Report post and choose why you don't want to see the post, then click Submit.
    3. You can choose to Unfollow the person who posted the content.
    4. Click Done.
    To report a post on Workplace Essential:
    1. Click in the top-right corner of the post.
    2. Select Report post and choose why you don't want to see the post, then click Continue.
    3. You can choose to hide all posts from the person who posted the content.
    To report a comment on Workplace Advanced:
    1. Click in the top right corner of the comment.
    2. Select Find Support or Report Comment and choose why you don't want to see the comment, then click Continue.
    3. You can choose to Unfollow the person who posted the content.
    4. Click Done.
    To report a comment on Workplace Essential:
    1. Click in the top right corner of the comment.
    2. Select Find Support or Report Comment and choose why you don't want to see the comment, then click Submit.
    3. You can choose to hide all posts from the person who posted the content.

    We have limits in place to prevent abuse of our features and to protect people from spam and harassment. For example, if someone sends out several messages to people they are not connected to, they may be warned or temporarily blocked from sending messages.
    Additionally, for example, you shouldn't tag too many people too frequently on notes, as that may be considered spam.
    Limits such as these are based on different factors, like speed and quantity, but we can't provide additional details on the rate limits that are enforced.

    To log out of Workplace:
    1. Click at the top right of any Workplace page.
    2. Select Log Out > Confirm.
    Note: If you're a user of Workplace Advanced and your company uses Single-Sign On (SSO), to prevent someone else accessing your profile from this computer, you should also log out of your company account. If you don't know how to log out of your company account, speak to your IT department.

    This article is only applicable to users of Workplace Essential and Workplace Advanced.
    Your Workplace Org Chart lets you find people and teams in your company by showing who reports to whom.
    To view your Org Chart, from your News Feed, click See More below Home, then click Org Chart. To navigate the chart, click on people to see who they report to and who reports to them. The numbers in the gray circles on the chart indicate how many people report to that person.
    Note: You can add or edit information about your team (example: your manager or direct reports) in Org Chart if your community admin has enabled profile editing. If you're a community admin, you can edit the Org Chart through the People tab in the Admin Panel.

    This article is only applicable to users of Workplace Essential and Workplace Advanced.
    You can specify your manager and the people who report to you by clicking Edit Profile on your own card in the Org Chart. You can also edit the same information on the About tab of your profile.
    If your community admin has disabled profile editing, you won't be able to edit your Org Chart information. You should contact your HR department to get this information changed.
    If you're a community admin, you can make changes to Org Chart through the People tab in the Admin Panel. If you've disabled profile editing, your employees won't be able to specify their manager or who reports to them. Manager information can also be added and changed via the SCIM API.
    Note: When someone leaves your company and their account is deactivated, they'll no longer be shown on Org Chart.

    Troubleshooting
    • If you're using Workplace Advanced and are having trouble logging in, you should get in touch with your community admin.
    • If you're an admin on Workplace Advanced and are locked out of your account, you can contact Workplace support. Keep in mind that the form only works if you're on your computer and signed out of Workplace and Facebook. If you're signed into either, the link will redirect you to the Help Center.
    • If your company is using single sign-on and you're having issues logging in, please contact your IT team.
    • If you're experiencing issues with your password, you can reset it.

    If you've been locked out of your account after enabling G Suite, you will first need to access your G Suite admin console. From there:
    1. Click on Apps > SAML Apps.
    2. Click on Workplace Settings.
    3. Select ON for everyone or ON for some organizations depending on your preferences.
    Keep in mind that it may take up to 24 hours for the changes to take effect, and you won't receive a notification when they do.

    Workplace is hosted on Facebook servers. It's completely separate from our other products, but uses the domain facebook.com. We connect to this domain to confirm your identity and authorize single sign-on.

    Login Approvals and Alerts
    You can enable two-factor authentication to add a two-factor authentication system to your Workplace account for added security.
    If you turn on two-factor authentication, also known as multi-factor authentication (MFA), you'll be asked for a special security code each time you try to log into your Workplace account or app from a new device. Once you've entered this security code, you’ll have the option to save the device to your account so that you won't have to go through the process when you log in from the same device again.
    To turn on two-factor authentication:
    1. Log into Workplace.
    2. Click your profile picture at the bottom left of Workplace.
    3. Click Settings.
    4. Click Security and Login.
    5. Scroll down and click Edit in the Use two-factor authentication section then select Get Started. You may be asked to reenter your password.
    6. In the Text Message (SMS) section, click Add a New Phone Number to add a phone number. You'll be asked to enter a phone number, and then to confirm that you own the number by entering a confirmation code sent to you via SMS.
    Keep in mind that once you've set up your two-factor authentication preferences, you'll need to click Enable to activate the feature.
    Note: Security codes can also be generated with a third-party app, or a Code Generator in the Workplace app.
    If you no longer have access to your two-factor authentication or can't log in, reach out to your Workplace admin or submit a request to regain access.

    After adding a mobile number for two-factor authentication, you may want to change it later on if you get a new number or another phone.
    To change the mobile number you use:
    1. Click on your profile photo in the bottom left > Click Settings > Click Security and Login.
    2. Next to Use two-factor authentication click Edit.
    3. Find the device you want to change and click Change phone number > Select Add A New Phone Number > Click Next.
    4. Enter the phone number you'd like to use for two-factor > Click Next > Enter the 6-digit code you receive > Click Next.
    If you no longer have access to your two-factor authentication or can't log in, reach out to your Workplace admin.

    The code generator feature can be turned on from all devices, but codes can only be generated with code generator from the Workplace app for Android and iOS.
    Code generator is part of an extra security feature called two-factor authentication. If you turn on two-factor authentication, you'll be asked for a special security code each time you try to log into your Workplace account from a new device.
    To turn on code generator from your computer:
    1. Log into Workplace.
    2. From your profile, click Settings.
    3. Click Security and Login.
    4. Click Edit in the Use two-factor authentication section.
    5. Click Code Generator then select Set up and follow the instructions.
    To generate a code using code generator from the Workplace iOS or Android apps:
    1. Tap .
    2. Scroll down and tap Code Generator.
    3. Use the code to log into Workplace.
    Note: Security codes can also be generated with a third-party app.

    You can improve the security of your Workplace account by getting an alert when someone tries logging in from a device or web browser we don't recognize. These alerts will tell you which device the person tried logging in from and where it's located.
    To get alerts about unrecognized logins:
    1. Click on your profile picture in the bottom left of Workplace > click Settings > then click Security and Login.
    2. Go to Get alerts about unrecognized logins and click Edit.
    3. Choose where you want to receive your alerts, such as from your email account or with a Workplace notification from a recognized device.
    4. Click Save Changes.
    After you start getting alerts about unrecognized logins:
    • When you receive a login alert, you can tell us if you recognize the login activity by clicking or tapping This was me.
    • If you don't recognize the login activity, click or tap This wasn't me and we'll help you reset your password and secure your account.
    • You can save a device or browser to your list of trusted browsers or recognized devices. This way, you won't get alerts about the computer or mobile device you usually use to log into Workplace. Don't choose this option if you're using a public computer (such as one in a library or cafe).

    Security keys are part of an extra security feature called two-factor authentication. If you own a Universal 2nd Factor (U2F) compatible security key and add it as an authentication method, you can use it when logging into your Workplace account from a computer or mobile device we don't recognize. Using a security key adds another layer of protection to help keep your account safe.
    Keep in mind security keys only work with certain web browsers and mobile devices, so you'll also need to have another authentication method, such as a mobile phone or Code Generator.

    Adding a Security Key
    To add or use a security key, you'll need to be using the latest version of Google Chrome, Firefox, Safari, Opera or Edge.
    On a supported browser:
    1. Go to your Security and Login Settings.
    2. Scroll down to Use two-factor authentication and click Edit.
    3. Under Add a Backup Method, find Security Key and click Setup.
    4. Follow the onscreen instructions to enroll your security key.
    After successfully adding your security key, it will appear with the name you've given it in your Security Key section.

    Using Your Security Key
    If you have two-factor authentication turned on and added a security key, the next time you log into Workplace from a supported browser on an unrecognized device you'll be asked to tap your security key.
    If you don't have your security key or it isn't working, you can click Use a different method to log in using one of your other authentication methods, such as a mobile phone or Code Generator.
    If you lose your security key, delete it from your list of approved security devices. You can do that by going to Security and Login Settings and deleting it from your two-factor authentication options.
