System admins can use a tool to download their organization’s data from Workplace.
If your organization is moving to Workvivo by Zoom (Meta’s only preferred migration partner), you can also use the tool to export your selected Workplace data to facilitate migration to Workvivo.

How the download tool works
System admins can find the download tool by navigating to Download Workplace data under the Admin Panel menu.
The tool displays two tabs:
- Workplace data: This tab is where you can initiate a data download for your organization, as well as export to Workvivo.
- Export jobs: This tab shows the data export jobs you’ve created, which will be available for download when the requested files are ready.
Download organization data to your device
To set up a download of your organization's data to a device:
- Click on Download Workplace data in your Admin Panel menu.
- Go to the Workplace data tab.
- Select the Download Workplace data option.
- Under Select Workplace data, use the drop-down lists to choose the file type, media quality, and date range for your download. Note: The higher the media quality, the larger the download file created, and vice versa.
- Use the check-boxes to select the data types to include in your download. Click Select all if you want to download everything that is currently available. Note: See the ‘Available data types’ section of this article for a complete list of available data types.
- Click Continue.
- Review the information presented in the Download data box that appears. Click Confirm to proceed or click Cancel to go back to the previous screen to make any changes.
- On the Workplace data tab, a Download in progress banner will appear at the top of the screen confirming that your export job has been submitted.
- Click on the Export jobs tab to view a list of your jobs.
- Click on the View files button next to an individual job to see a breakdown of progress and available files for download. You will also receive Workplace notifications about the progress of your export job.
- Data files are organized into Organization data and People data categories, and will each display a progress status:
- You can download any files with a 'Complete' status by clicking Download. Note: For multiple file downloads, you’ll be given the option to download a single file at a time.
- You can manually mark a file as 'Downloaded', to help you keep track of your progress.
- Files with a 'Pending' status are still being processed, and the Download link will be unavailable.
- Once a job is marked as ‘Complete’ and ready for download, you can either:
- a.) Manually download the files by clicking the Download link next to the job.
- b.) Programmatically download the files: refer to the ‘Download organization data programmatically’ section of this article for further instructions on how to set this up.
Download organization data and facilitate export to Workvivo
Note: Your organization will need to have a Workvivo instance to complete the following steps. Visit the Workvivo Help Center for more information on how to get started with Workvivo.
To download and facilitate export of your organization's data to Workvivo:
- Click on Download Workplace data in your Admin Panel menu.
- Go to the Workplace data tab.
- Select Export Workplace data to Workvivo by Zoom. Note: a corresponding data file will also be generated as part of this process, giving you the option to download and store the exported data separately on your device.
- Enter your Workvivo instance ID and Workvivo token (provided to you by Workvivo), and click Connect. If successful, your Workplace instance ID will appear with a “Connected” status in green.
- Enter your migration code (generated in Workvivo) and click Authorize. When authorized, your migration code will appear under the Workplace instance ID.
- Under Select Workplace data, use the drop-down lists to choose the file type, media quality, and date range for your download. Note: The higher the media quality, the larger the download file created, and vice versa.
- Use the check-boxes to select the types of data to include in your download. Click Select all if you want to download everything that is currently available.
- Click Continue.
- Review the information presented in the Download and export data box that appears. Click Confirm to proceed with facilitating the export or click Cancel to go back to the previous screen to make any changes.
- On the Workplace data tab, a Download and export in progress banner will appear at the top of the screen confirming that your job has been submitted.
- Click on the Export jobs tab to view a list of your jobs.
- For the export to Workvivo aspect of your job, the status will appear as either ‘In progress’ or ‘Complete’ under the Export status column. Note: Please be aware that the process could take several days depending on how much data is being requested. Refer to your Workvivo account manager to check on the progress of the migration.
- For the data download aspect of your job, click on the View files button next to an individual job to see a breakdown of progress and available files for download.
- Data files are organized into Organization data and People data categories, and will each display a progress status:
- You can download any files with a 'Complete' status by clicking Download. Note: For multiple file downloads, you’ll be given the option to download a single file at a time.
- You can manually mark a file as Downloaded, to help you keep track of your progress.

Download organization data programmatically
As an alternative to manually downloading organization data from the Admin Panel, you can programmatically download all the files for an export using a custom integration.
Note: Programmatic download of organization data requires access to the DYI Export API and some experience calling Workplace APIs. For further details and instructions, read the DYI Export API guide on the Developers site. For general advice on setting up custom integrations, see the Custom Integrations guide.
To programmatically download organization data from Workplace:
- Follow the steps described above for creating an export job in the Download Workplace data tool. Note: You can only programmatically download any files with a 'Complete' status under the Download Workplace data tool.
- Create a new custom integration.
- Under the Permissions list for the custom integration, select the Read Workplace company data exports permission.
- Use the custom integration to call the DYI Export API to look for recent exports and retrieve a list of URLs for the files available for that export job.
- Use a script to download all the files via their URLs.
